Learn the existing process. Our consultants will work closely with your on-site staff to understand the procedures, goals and process that are currently in existence. Careful examination and understanding of all documentation and directives is essential to design an effective plan moving forward.
Identify opportunities. When procedures have been in place for a long time, they may get bogged down with unnecessary or highly manual tasks that can create a time drag. Or, it may not take advantage of available technology. We can assist with reducing steps to completion, simplifying complex procedures, automating manual tasks and minimizing errors.
Design and document the solution. Our hands-on approach facilitates a positive and collaborative environment when it comes to new processes. Process improvement involves the analysis of a task or procedure from start to finish and determining if there is a more efficient way of completing it. This is often referred to as LEAN or kaizen in different fields.
CEOs know where their agency's strengths and weaknesses are. Line employees can also readily point out flaws in workflows and procedures. All too often though, the real challenge with process improvement is knowing how to improve these processes and ensure that the newly implmented procedures are actually working.
The goal of a process improvement analysis is simply to make something run smoother. This could be a task as simple from how the mail is sorted, to a complex process like how public records requests are handled. BlueIQ consultants utilize the following approach to process improvement analysis:
Review of current procedures. BlueIQ consultants spend time with line employees and speaking with first level supervisors to see how current processes are carried out. This may also include document review.
Formulation of an initial implementation plan. After speaking to employees and reviewing all relevant data, consultants will draw up an initial recommendation for staff approval.
Follow-up. There is no point in conducting a process improvement project without verifying that the newly-implemented procedure is actually effective. BlueIQ consultants will return and assess the effectiveness of the new processes and use quantifiable metrics to determine if the process improvement has been effective.
Nobody likes a back seat driver. Throughout our process, we take the approach that consultant recommendations are just that - recommendations. After compiling an initial recommendation, it is up to the agency to decide whether to implement the recommended action plan, or to amend it. There is "no one size fits all" approach to process improvement.
